Delete your data

This page explains how to request deletion of your account and data, exactly what gets deleted, what is kept, and for how long.

How to request deletion

If you are a technician or office user

  1. Ask your company’s CodeGreen administrator to remove you. They can do this themselves in Settings → Users & Roles, and it ends your access immediately.
  2. Or email [email protected] from the address you sign in with, saying you want your account removed. We confirm with an administrator at your company before acting, because your inspection work belongs to their records.

If you are the account owner and want the whole organization deleted

  1. Email [email protected] from the address on the account, asking to close the account and delete its data.
  2. We confirm the request with an account administrator, because deletion is irreversible and affects compliance records your company may be legally required to keep.
  3. Once confirmed, deletion is completed within 30 days, including removal from our encrypted off-site backup copies.

If you are a building owner or property contact

Your name or phone number may appear in inspection records because a fire protection contractor entered them. That contractor decides what happens to that data and CodeGreen ITM acts on their instruction, so contact the contractor who inspects your property. Email us and we will help them action it. See the Privacy Policy for why that distinction exists.

What is deleted and what is kept

Why inspection records are treated differently from your login. When a fire protection contractor subscribes to CodeGreen ITM, they decide what inspection data goes into the Service and what happens to it. We process it on their behalf. Removing a person’s login does not erase the inspections they performed, in the same way that an employee leaving does not erase the paperwork they filed. Closing the contractor’s own account does delete that content.
